Everything you need to get the most out of WherePDF
Getting started
New to WherePDF? Follow these steps to upload your first document and ask your first question.
- Create your account – Sign up with your email address or use single sign-on (SSO) if your organization has it enabled. No credit card required to start.
- Upload your first document – Drag and drop a PDF, Word document, or any supported file type into your workspace. Files are processed in seconds.
- Ask a question – Type your question in plain language. WherePDF will scan the document and return an answer with citations linking back to the source.
- Click citations to verify – Each answer includes highlighted passages. Click any citation to jump to the exact location in your document.
- Organize with workspaces – Create separate workspaces for different projects, clients, or departments to keep your documents organized.
Workspaces & permissions
Collaborate securely with your team using workspaces and role-based access control.
- Creating workspaces – Team plan users can create multiple workspaces. Each workspace has its own set of documents and conversations.
- Inviting teammates – From the workspace settings, enter email addresses to invite team members. They’ll receive an invitation link to join.
- Managing access levels – Assign roles to control what each member can do: Viewer (read-only), Editor (upload and chat), or Admin (full control including billing and permissions).
- Sharing conversations – Copy a conversation link to share specific Q&A threads with teammates. Recipients must have access to the workspace to view it.
- Removing access – Workspace admins can remove members at any time. Removed members immediately lose access to documents and conversations.
Privacy & security
Your documents are private, secure, and handled with enterprise-grade protection.
- Data encryption – All documents are encrypted at rest using AES-256 encryption and in transit using TLS 1.3. Your files are stored in secure, access-controlled data centers.
- Data retention – You control your data. Documents remain in your account until you delete them. Deleted files are permanently removed within 30 days.
- Compliance – WherePDF is SOC 2 Type II certified and GDPR compliant. We undergo regular third-party audits to ensure data protection standards.
- Privacy policy – We never train AI models on your documents. Your content is yours alone. Review our full privacy policy for details on data handling practices.
- Access logs – Team plan users have access to activity logs showing who accessed which documents and when. This provides full audit trails for compliance.
- Single Sign-On (SSO) – Enterprise customers can integrate with identity providers like Okta, Azure AD, and Google Workspace for centralized authentication.
